Notifications & subscribers¶
This section covers the Information menu: Events, Subscribers and Notifications. Only admins can see and change these areas. For channel setup (SMTP, Twilio, VAPID, webhooks), see Settings, users, API tokens & audit log.
Subscription mode¶
Open Information → Notifications. In the Enable Email Subscription card, choose the subscription mode under Subscription level and save with Save subscription level:
| Mode | Effect |
|---|---|
| No email subscription | No e-mails about status changes |
| Only users | E-mails go to all user accounts, regardless of role |
| Users + Public | All user accounts and all confirmed subscribers |
Visitors can subscribe on the public page only in the last mode, and only when an e-mail provider is configured. Without an e-mail setup, the card shows "Email-Setup must be configured (Settings → Email-Setup) before dispatches are sent.".
Event templates¶
In the Subscription Events & Templates card, each event type has a block:
- Send notification: turns e-mail delivery on for this event type.
- SMS, Webhook and Push: an enable checkbox for each channel.
- Subject and Body: the text of the e-mail. Placeholders such as
{{siteName}}are replaced automatically. Save with Save template.
A channel sends only if its checkbox is on for that event type. If the row for a new event type is missing, the worker creates it enabled on its next start. Until then, the type appears as disabled.
The double opt-in mail is Email only. Instead of the channel checkboxes, the block shows this note, and the mail is never sent over SMS, webhook or push. This event type cannot be selected for SMS recipients and webhooks.
Event types include: outage started, service back to operational, service outage change, incident created, updated, resolved, reviewed and closed, maintenance scheduled, started and completed, SLA report started, and the double opt-in mail.
Mail closing¶
The Mail Closing card holds the Closing text that is appended to every notification mail. The placeholders {{siteName}}, {{siteUrl}} and [[unsubscribe-link]] are allowed. If the unsubscribe link is missing from the text, an unsubscribe line is added automatically. Save with Save mail closing.
Subscribers¶
Open Information → Subscribers to see all e-mail recipients.
- Add: enter Email and Name (optional) and click Add subscriber. Subscribers added by an admin are treated as confirmed.
- List: per subscriber the e-mail and name (both editable, save with Save), Source (
publicoradmin) and Status (Verified or Pending). Public subscribers are confirmed only after they clicked the link in their confirmation e-mail. - Search: "Search by email or name…" with Search; Clear resets the search. 100 entries per page.
- Delete removes a subscriber immediately, without confirmation. The person must subscribe again to receive mails.
Events log¶
Open Information → Events. The Notification Events page lists the dispatched e-mail notifications with the columns Event, Subject, Recipients, Provider, Status, Attempts, Sent at and Actions. Narrow the list with the search and the status filter (Filter, Clear); 100 entries per page. Webhook, SMS and push do not appear here. Their last delivery status is shown in the settings next to each recipient.
| Status | Meaning |
|---|---|
pending |
Waiting for the worker |
processing |
Being sent |
sent |
Delivered to the provider |
failed |
All three attempts failed |
For failed events, Resend sends the event again. Use it after fixing the cause, for example a wrong SMTP password. If an event reached only some of its recipients, the Recipients column shows "x / y" and the button reads Resend remaining. It only delivers to the remaining recipients, so nobody receives the mail twice. Events stuck in pending or processing for more than 30 minutes are marked as failed automatically.
Info
If events stay in pending, the worker is not running. Check Operations, backup & restore.
